Before I share with you my collection of the top web tools that are sure to help you to work remotely, I want to discuss one more pearl of wisdom related to self discipline and especially to do with keeping your focus and levels of concentration

I’ve observed and established a consistent trait in colleagues who work on the web and I’ve been in contact with for a substantial period and I call this habit the fifty min effect. The latest version of Skype has an abundance of very practical features and there is an ever growing list of practical add on applications.

Remote Working Part 1 – DIY Guide – Overview

Obviously not everybody is allowed to work remotely as lots of careers require people to consistently attend their office or travel to perform their tasks in person. But for those of us are allowed to work remotely then I thought it would be useful to share what I have learned and present some practical advice by putting it on the web with the sole objective of providing valuable ways for adapting to remote working or supervising remote workers.

I can tell you that there are a substantial number of so called ’experts’ out there who will try and sell you courses for enormous sums of cash, take my word for it you don’t have to do this.

I am fortunate to be permitted to work wherever I choose and just about everyone who asks me what job I do wants to get details of how I manage to work remotely. Don’t get the wrong idea I am still perfecting the art of remote working as each day I discover folks on the net who show me new knowledge and I am continually finding new packages and processes that make my life simpler and increase my productivity.

In the past seven years I have slowly but surely adapted my working methods to enable me to do the whole of my work remotely with a kit of online tools and rigid self management. One lunchtime whilst exploring the net I unearthed Quickbooks online and this brought to my attention what just might be possible. The discovery of online ‘on demand’ small business accounting software was the turning point for me and the beginning of my ‘remote working journey’.

I have got to mention up front that effectively working remotely is as much about the software as it is about self management. Working remotely also means informing your co-workers, superiors and customers as to what they can expect and how they will maintain contact with you.

Remote Working Part 2 – Managing yourself

The key reason people fail to adapt to working remotely is they don’t realise the need for first rate organisation and rigid self discipline.

I have been working remotely for almost a decade since I first unearthed Quickbooks online an ‘on demand’ small business accounting software web application and was spellbound by the fact that if you can do accounting on the web then why shouldn’t it be viable to do other important types of work remotely?

Whilst working remotely has significant advantages there are numerous pitfalls which lead to problems that result in reduced productivity and reduced morale. The major reason for decreases in effectiveness in remote employees is disturbance and it is a confirmed and well known fact that it can take a worker up to 20 mins to return to their original output level after experiencing a distraction.

Studies also show that people who are regularly experience disturbances are more likely to be susceptible to lower memory capacity and are prone to developing mental health trouble in later life. We live in an over communicated time and it is important that you are aware of the problems this causes before you begin working remotely. When operating remotely you have to do everything possible to minimise the jeopardy of being disturbed.

Here are my most important tips:

1, Get a habit, tell everyone about it and obsessively maintain it!

Good examples are a specific time of day when you read or write and send e-mail and make or be available for phone conversatiions. Before I began working remotely I used to receive in the region of a couple of hundred electronic mails a day. Now I think I am unfortunate if I receive more than four. To ’reset’ my electronic mail experience I modified my e-mail address and vigorously took precautions to shield the details being made known to anyone. I then ‘trained’ every individual who I gave my e-mail address to, to use it with special care. I also created an automatic response that swiftly informed anyone sending me mail my schedule for reading mail and if something needed my immediate consideration to mark it as ‘Urgent’.

2. Get rid of alerts.

Disable absolutely everything that can send you a perceptible alert. This includes mobile and
ordinary phones and types of alerts from e-mail such as on screen pop ups, audible warnings, screen changes to your inbox list and of course facing a window. Get a door on your office and put up a ‘do not disturb’ sign on it.

Just Listen:  When you’re being told something that you didn’t do well, it’s very tempting to immediately interrupt and start defending yourself.  Resist the urge.  Listen to the comments and think about them for a moment before you say anything.  When you do speak, say something neutral like, “Thanks for telling me that.”   Remember, you’re on a quest for information that can help improve your skills.  You may want to follow up with a question designed to let you know what you should do the next time you’re in a similar situation.  “How would you handle the situation?” is a good one in that it gives you an example to follow.

Is that pointed remark an underhanded way to disguise a serious observation?

Then realize that your intended target may not get it and, if they do, they might not be too motivated to do anything about it.

The sad truth is that sarcasm reveals more about you then the people you target. (Read that line again, please.).

‘But’ is a word that creates barriers to effective communication. Take a look at this statement – ‘That was a great presentation, but you lost them a bit in the middle.’
What is your colleague going to take from this?.

They will probably delete the praise and concentrate on the message that they messed up. Although your intention is to help, you have inadvertently had an impact which will prevent them from performing confidently.

Just the act of listening shows respect to the other person.  Sure, their advice may be bogus but if you overreact, then they’ll likely never again give you feedback, which could hurt you later on if their observations improve.
